The Role
The volunteer centre is situated in the London Borough of Barnet. Their aim is to unite volunteers and organisations to strengthen the community they support and promote all aspects of volunteering.
Working in Barnet, the Volunteer Officer will focus on recruitment and deployment of volunteers into a range of roles, including event based, regular, micro-volunteering, taster sessions and one-off. The Volunteer Officer will utilise volunteer data to ensure their service is accessible to all communities.
Main Objectives
- Lead delivery of Barnet volunteer outreach strategy, focusing on:
- Event attendance to promote volunteering
- Volunteer registration
- Volunteer brokerage into roles offered by Voluntary, Community, Faith and Social Enterprise (VCFSE) organisations across Barnet
- Lead volunteer induction process
- Utilise the Volunteering CRM platform to administer volunteer recruitment and deployment
- Regularly analyse data to track success of outreach strategy and make changes based on representation and geographical spread of volunteers, and input into reporting
Key Responsibilities
- Support the creation of the Volunteering Outreach strategy, with a focus on targeted recruitment of under-represented communities in Barnet
- Utilise data collected through the Volunteering CRM database, to assess registered and active volunteer demographics, comparing this to borough census data, for service development and reporting
- Work with the Volunteering Project Manager to review and adjust the Volunteering Outreach strategy regularly to ensure targeted recruitment of volunteers, based on individual demographics and geographical spread of volunteers
- Establish and deliver volunteer sign up processes, including volunteer induction, in line with volunteer management best practice
- In person attendance at meetings, networks and events in Barnet
- Lead volunteer communication channels, including email and phone
- Deliver volunteer drop-in sessions to support volunteers register and sign up to volunteering opportunities
- Undertake targeted volunteer brokerage for roles offered by Voluntary, Community, Faith and Social Enterprise (VCFSE) organisations, NHS, Local Authority teams and culture / event roles
- Utilise Volunteering CRM database to recruit and deploy volunteers into a range of volunteering roles
- Complete volunteer deployment actions where required, including:
- Volunteer joining instructions
- Volunteer shift confirmations
- Volunteer coordinator confirmation emails
- Processing DBS checks for some volunteer roles
- Administer volunteer expenses, where required
- Support volunteer recognition activities, including recognition events, thank you emails, awards and time credit schemes (if utilised)
- Collate local training opportunities that volunteers can be signposted to
- Complete monthly KPI tracking of volunteer registrations, active volunteers (deployed volunteers) and other KPIs as requested
- Support delivery of service monitoring and evaluation framework, including reporting, action planning and annual volunteer evaluation survey and data analysis
- Support the delivery of service communications plan, including social media content, printed media dissemination, blog writing, case study collection, and monthly newsletter for volunteers
- Support in person volunteer coordination, as required
- Actively participate in team, session planning, and delivery meetings
- Support the Volunteering Project Manager with reasonable administration duties required for the project
Skills and Qualifications
- Passionate about volunteering and experienced volunteer
- Understanding different elements of volunteer management best practice
- Good networking and liaison skills and ability to develop and maintain a range working relationships with stakeholders, partners and customers
- Excellent interpersonal, liaison, written and oral communication skills, applied internally and externally with customers/clients
- Strong organisational skills with the ability to manage and prioritise multiple tasks and activities under own initiative and deliver these on time
- Flexible and reliable team player with a collaborative working style and willingness to take on a range of tasks
- Excellent attention to detail and quality control in tasks
- Sound MS Office knowledge, ability to work on CRM databases and use digital platforms such as Zoon or Teams
- Ability/willingness to work from different locations across the London Borough of Barnet
- Knowledge and understanding of General Data Protection Regulations 2018 to manage and store personal and sensitive personal data
