The Role
The role of the Resource Centre Administrator is to facilitate the smooth running of day-to-day processes in the school, assisting members of staff in carrying out their responsibilities as efficiently as possible, and managing pupil/parent information. S/he works in the School Resources Centre with other members of the team.
Key Responsibilities
Teaching Administration
- Following up on lesson registration to ensure that pupils are being registered, chasing teachers who have not done so and escalating as necessary to senior staff
- Managing the detention system:
- Liaising with Heads of Year
- Entering pupils for detentions and informing Houses
- Chasing up non-attendees in liaison with the Senior Deputy Head
- Set up each new terms registration dates and lesson times on the School database (iSAMS).
Joining Pack
- Input guardian, census, parental responsibility, medical PDF’s, information onto iSams. Check passports, nationality & resident country for all new pupils.
- Liaise with Data Manager to identify missing information and follow up.
Office Management
- Managing stationery stocks for staff.
- Prompt reporting of photocopying issues to the IT department for repair.
- At the end of the summer holiday, preparing the Resources Room for the next year.
- Helping to support new teaching staff and introducing them to keep school systems as part of their induction.
Administrative Support
- Photocopying for staff.
- Bulk photocopying for Departments: putting together booklets and documents.
- Photocopying confidential material (exams).
- Assisting with ensuring pupil and parent information in iSAMS is correct.
- Produce and distribute updated Emergency Communications Checklist cards for start of school year.
Transport and Trips
- Booking external coach transport for pupil trips on behalf of teachers and sports departments
- Ensuring trips/beaks have all transport information for their trips over a weekend
Support to Wider School
- Communicating effectively with other secretarial/administrative colleagues supporting the School, providing backup and collaboration as required.
- Working with others in the Resource Centre covering tasks when necessary
Safeguarding
- Demonstrate the highest levels of commitment and compliance to safeguarding and promoting the welfare of children and young people.
Skills and Qualifications
Essential
- Recent practical experience of working in an office environment.
- Proven track record of setting up and running a range of administrative tasks with minimal supervision.
- Capable of using a range of office equipment and technology (e.g.
- photocopiers, scanners etc).
- Experience of drafting correspondence which is grammatically correct and to a high standard of English.
- Experience of working with different stakeholders (including pupils, parents and staff) in different contexts.
- Good general IT skills such as fast and accurate keyboard skills.
- Proficient user of Microsoft Office Suite.
Desirable
- Experience of school administration.
- Knowledge and awareness of the importance of confidentiality and data protection.
Qualifications Essential
- Good general education including English and Maths.
Desirable
- A qualification in computing skills or related area.
