Receptionist & Administrator

Location: Tynemouth, NE30 4AY

Salary: £24,063 Pro – Rata, £12.34 per hour

Contract: Temporary Fixed-Term Contract for 3 months, with potential for extension of contract. Start date as soon as possible in July.

Hours: Part-time, 30 hrs per week (4 days per week, 9.00am-5.00pm).

The organisation have a team of Mental Health Professionals including Clinical Psychologists, CBT Therapists and Counsellors with clinics based in Tynemouth, Gosforth, Jesmond, Durham and Hexham. They offer prompt access to excellent quality evidence-based talking therapy services, specialist psychological and neurological assessments.

The Role

They have an opening for a part-time Receptionist & Administrator to support them during the summer period. There is also an opportunity to work additional hours during busy times. This is an interesting and challenging role in a supportive and dynamic environment. The successful candidate will play a pivotal role in their client administrative support, being central to expertly managing incoming calls, precise diary coordination, and facilitating positive client experiences within their customer care process. This role also involves a variety of general administration activities and offers potential to support their team with other project work to assist with business improvements

This position would be perfect for a psychology graduate.

Key Responsibilities

  • Communication & Enquiries: Act as a primary point of contact and central hub for all incoming communications, expertly managing and redirecting enquiries via phone, email, and in-person from clients, associates, and other stakeholders. This includes effective message taking and ensuring information is transferred precisely.
  • Scheduling & Booking Management: Scheduling & Booking Management: Take lead responsibility for overseeing and managing the comprehensive diary system, including managing client appointments and clinic room bookings for therapists, associates, and external room users. Furthermore, the role involves effectively handling enquiries from prospective room users, facilitating their setup within their booking platform, and managing room availability and viewing arrangements.
  • Office & Facility Administration: Ensure the clinic facilities, including waiting areas and specific rooms, are consistently well-prepared, tidy, and appropriately stocked. This involves general office maintenance, managing supplies, assisting with minor issues or cleaning when required, and providing occasional in-person greetings and assistance to clients and visitors, managing entry to the facility as needed.
  • General Administrative Support: Perform a variety of administrative tasks such as administrative support for the sales team, sending reports, forwarding therapy resources and record keeping.
  • Finance support: Support with finance related tasks such as actioning payments on their room booking system or creating and sending invoices.
  • Project & Business Improvement Support: Collaborate with colleagues on special projects aimed at driving business improvements.
  • Professional Representation: Represent the company in an appropriate and professional manner to all service users and stakeholders, upholding Select Psychology’s values.

Skills and Qualifications

  • Will be able to demonstrate a keen interest in mental health, or related work.
  • Have previous experience in a similar or related role.
  • Be of smart appearance, with good time management skills.
  • Be a good team player, with excellent oral and written skills.
  • Are passionate about administrative work and possess excellent IT skills, especially Microsoft Office.
  • Be well organised and a self-starter and have a willingness to make a positive contribution to the team effort.
  • Have an ability to demonstrate initiative and work unsupervised for periods of time.
  • Have an ability to prioritise.
  • Be able to respect client confidentiality.
  • Be able to manage workloads and work to deadlines.
  • Live within a commutable distance and have the right to work in the UK.
